Built a Pipeline Operations System with 10+ Tools. Cut a Full-Day Workflow to Under an Hour.

Multi-source discovery, automated enrichment, verified outreach, and pipeline review. The architecture maps to any high-volume prospecting operation.

Running a high-volume pipeline means managing a stack of repetitive operational tasks: sourcing across multiple channels, deduplicating against your existing pipeline, scoring and qualifying, generating tailored outreach materials, enriching and verifying contact data, drafting communications, managing follow-up cadences, and running regular pipeline reviews. Done manually, this consumes a full working day. The operational volume buries the work that actually drives outcomes: making decisions, exercising judgment, and building relationships.

I built a system to eliminate the operational layer and preserve the decision layer. The architecture connects 10+ tools across five stages. Multiple sources feed into a discovery and qualification engine with automatic deduplication, hard disqualifiers, and a scoring rubric. Anything above threshold logs to Notion as the single source of truth. Materials generation produces tailored outreach with strict accuracy constraints. Contact enrichment runs through Clay and Apollo.io in parallel, with Hunter.io as a verification layer on top. Nothing gets used in an outreach draft without passing verification. Gmail creates drafts that queue for human review before sending. Follow-up sequences run on cadence with different angles, and a weekly pipeline review surfaces everything stale or unacted on.

Human input is required at exactly two points: approving materials and outreach before anything sends, and making judgment calls on borderline opportunities the scoring flags for manual review. Everything else runs autonomously.

By the Numbers
90%+ Reduction — full-day workflow to under 1 hour
10+ Tools: Clay, Apollo, Hunter, Notion, Gmail, Calendly, Calendar, Claude, Indeed, LinkedIn, Greenhouse/Lever
5 stages Discovery, tracking, materials, enrichment/outreach, follow-up/review
2 Human checkpoints — decision and approval only; operational layer fully automated
What This Shows

This is a pipeline operations system. The architecture — multi-source discovery, deduplication, scoring, enrichment, verification, sequenced outreach, pipeline review — is the same architecture that powers sales development, partner outreach, ABM campaigns, and any high-volume prospecting workflow. Building it end-to-end demonstrates hands-on proficiency with the tools RevOps teams are adopting now (Clay, Apollo, Notion, automation orchestration) and the systems thinking to connect them into a cohesive, reliable workflow.
